OCR Capture for Invoices: Email Body Text vs. Attachments

Our accounts payable automation SaaS uses Optical Character Recognition (OCR) technology to extract and process invoice data efficiently. Here's what you need to know about supported formats:

  1. Email Body Text is Not Supported
Our system is designed to focus on processing invoice attachments rather than extracting data directly from the body of an email. This ensures greater accuracy and consistency, as email body text often varies in format and structure, which can hinder reliable OCR processing.

  2. Supported Invoice Attachments
Attachments generated from typewriters or computer printouts are fully supported. These formats typically provide structured, machine-readable layouts that enable our OCR technology to accurately capture essential invoice details such as vendor information, amounts, and payment terms.

  3. Common Supported File Types

    • PDF files
    • Image files such as PNG, or JPG
Attachments must be clear, unaltered, and not handwritten to ensure the best results.
  4. Why Attachments Work Best
Invoice attachments usually maintain a uniform design with standard placement of key details. This consistency allows our OCR technology to work seamlessly, reducing errors and the need for manual intervention.

If you have invoices embedded in email body text, we recommend downloading and converting them to PDF or another supported format before submission to the system.
